Privacy Policy

This Privacy Policy explains how LocalRec ("we", "us", or "our") collects, uses, discloses, and protects your personal information when you use our mobile application and related services (the "Platform"). We are committed to protecting your privacy in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws in Saskatchewan.

By using the Platform, you consent to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Information You Provide

  • Mobile phone number (used for OTP verification via WhatsApp or SMS)
  • Display name (chosen by you during onboarding)
  • Names of friends you book spots for
  • Any optional profile information you choose to add

1.2 Information Collected Automatically

  • Device type, operating system, and app version
  • IP address and general location (city/region level)
  • Usage data such as pages viewed, games browsed, and features used
  • Crash reports and performance data

1.3 Payment Information

We do not store your full payment card details. Payment transactions are processed by Stripe, Inc., a PCI-DSS compliant payment processor. Stripe may collect and store your payment information subject to their own privacy policy, available at stripe.com/privacy. We retain only a tokenized reference to your payment method and transaction records.

1.4 Communications

  • Messages you send to our support team
  • OTP verification messages sent via WhatsApp (preferred) or SMS if WhatsApp is unavailable — both powered by Twilio, Inc.

2. How We Use Your Information

We use your personal information to:

  • Create and manage your account
  • Facilitate game bookings and process payments
  • Send booking confirmations and game reminders
  • Verify your identity via WhatsApp OTP or SMS OTP
  • Provide customer support and respond to inquiries
  • Improve the Platform through analytics and usage data
  • Enforce our Terms of Service and Code of Conduct
  • Comply with legal obligations
  • Send you service-related communications (not marketing, unless you opt in)

3. How We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

We share information with trusted third-party service providers who help us operate the Platform:

3.2 Other Players

Your first name and profile initial are visible to other players in the same game session (e.g., in the Who's Playing roster). We do not display your phone number or full contact details to other users.

3.3 Legal Requirements

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

3.4 Business Transfers

In the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you via the Platform before your information is subject to a different privacy policy.

4. Data Retention

  • Active account data is retained for as long as your account remains active.
  • Booking and transaction records are retained for a minimum of 7 years for tax and accounting purposes.
  • If you delete your account, we will delete or anonymize your personal data within 30 days, except where retention is required by law.
  • Anonymized, aggregated data (e.g., game attendance statistics) may be retained indefinitely as it cannot identify you.

5. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information, including:

  • Encryption of data in transit using TLS (HTTPS)
  • Encrypted storage of sensitive data at rest
  • Access controls limiting employee access to personal data on a need-to-know basis
  • Use of PCI-DSS compliant payment infrastructure via Stripe

No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

6. Your Rights Under PIPEDA

As a Canadian resident, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate or incomplete information
  • Withdraw consent to the collection or use of your information (subject to legal or contractual obligations)
  • Request deletion of your account and associated personal data
  • Lodge a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca)

7. Children's Privacy

The Platform is not intended for individuals under 18 years of age. We do not knowingly collect personal information from minors. If we become aware that we have collected personal information from someone under 18, we will delete it promptly. If you believe we have inadvertently collected such information, please contact us at support@localrec.ca.

8. Third-Party Links

The Platform does not currently contain links to third-party websites. The only external web presence associated with LocalRec is our own website at www.localrec.ca. If this changes in a future version of the Platform, this Policy will be updated accordingly.

9. International Data Transfers

Some of our service providers (including Stripe, Twilio, and Amazon Web Services) are based in the United States. By using our Platform, you acknowledge that your information may be transferred to and processed in the United States, which may have different privacy laws than Canada. We ensure that such transfers are governed by appropriate contractual protections.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform and updating the Effective Date. We encourage you to review this policy periodically. Continued use of the Platform following notice of changes constitutes your acceptance of the updated policy.
