How to reduce no-shows on court rentals
By Mahamed BashirPublished Updated
Take payment or a deposit when the court is booked, and show a cancellation deadline before renters pay. A renter who has paid either turns up or cancels in time for you to resell the hour. Remind renters the day before, and mark who doesn't show.
Why do renters book a court and not show up?
Usually for ordinary reasons: a team loses two players, a captain forgets the night, or a group books two places and keeps the one it likes. When holding a court costs nothing, dropping it costs nothing either.
Should you take payment when the court is booked?
Yes. It's the strongest fix, because the hour is paid for whether the renter comes or not. Card at booking suits one-off renters. Regular teams that prefer e-Transfer can pay a deposit with a deadline instead.
How big should a court rental deposit be?
Big enough that losing it matters, small enough not to put off a first-time renter, such as a quarter of the total. Give it a deadline, and release the court if the money hasn't arrived.
What should a court rental cancellation policy say?
Two sentences, shown before renters book: the deadline, and what happens after it. Set the deadline by how fast you can resell the time, such as 48 hours for a weeknight court and a week or more for a tournament block. Adapt the example below; it isn't legal advice.
Example
Cancel 48 hours or more before your start time for a full refund. Later cancellations and no-shows are not refunded.
Closures
If we close the facility, you choose a full refund or another time.
Do reminders reduce no-shows?
Yes, for the renter who simply forgot. Send a short text or email the day before with the court and start time. Keep it factual so regulars don't feel distrusted.
What should you do after a renter doesn't show?
Mark the no-show on the booking the same night and apply your policy. Ask a renter who misses twice to pay in full when they book from then on.
Where LocalRec helps
LocalRec Facility OS takes payment when the court is booked. With card payments, customers pay in full into your facility's own Stripe account, and refunds go back to the card. With Interac e-Transfer, you set the deposit and the deadline, LocalRec reminds you about transfers still waiting, and an unpaid booking is released so you can sell the hour again.
You set the cancellation deadline and what's refunded, customers see it before they book, and they cancel from their confirmation email. Staff mark each booking as arrived or a no-show, so you know who to ask to pay in full next time.
