Pickleball court booking software for clubs
LocalRec Facility OS is booking and operations software for indoor sports facilities in Canada. For a pickleball club, it puts each court on a booking page players open on the web or in the LocalRec app. You rent one court, a pair or the whole hall from the same floor, and a booking on any of them takes the courts it covers off sale.
LocalRec takes no commission on your bookings, and every price is in Canadian dollars.
What makes pickleball courts hard to schedule
Open play and rentals on the same courts
Most clubs keep some hours for open play and rent the rest by the court. If a player can reserve Court 2 in the middle of open play, the desk ends up settling it at the net.
League night needs every court
A Tuesday ladder can hold all four courts from 6 to 10. If single courts are still on sale that night, someone books Court 3 and arrives to find the league on it.
One floor, two ways to rent it
Many clubs play in a gym or tennis hall lined for four or more pickleball courts. A company social wants the whole hall and two regulars want one court. Kept on separate lists, both get booked for the same hour.
Court fees collected at the door
When players pay as they walk in, a pair who book and never arrive cost you the court for that hour, and nobody else could have had it.
How LocalRec handles court bookings
Courts, pairs and the whole hall
Add each court on the floor by name, then build the rentals you sell from them: each court, Courts 1 and 2 together for a clinic, and the whole hall for an event.
Open play kept off the booking page
Add blocked time on the courts you keep for open play. Those hours never show as free, so reservations only land in the hours you rent.
League nights held ahead
Block every court on league night, or have the desk enter the bookings under the league organiser's name. Either way, nobody can book Court 3 online on a Tuesday evening.
A higher rate for evening courts
Give each rental its own hourly rate, then add a higher rate for weekday evenings or for a dated winter season. Players see the price before they book, and a price already booked doesn't change when you edit the rate.
Booked on the web or in the app
Players pick a court, a day, a start time and a length, then confirm with a 6-digit code sent to their email. The web booking page asks for no password. They cancel from the link in their confirmation email, under your cancellation policy.
Payment, and memberships on Grow
Your club picks one way players pay: card at booking into your own Stripe account, Interac e-Transfer, or at the facility. With e-Transfer you can ask for a deposit, and a booking whose transfer doesn't arrive in time goes back on sale. Memberships, with monthly plans and member check-in, are on the Grow plan.
An example week at a four-court club
A made-up week to show how open play, league night and rentals share four courts.
- Weekday mornings
- Courts 1 and 2 are blocked for open play from 9 to noon. Regulars book Courts 3 and 4 a day or two ahead.
- Tuesday evening
- League night. All four courts are blocked from 6 to 10, so none of them shows on the booking page.
- Thursday
- A coach books Courts 1 and 2 together at 6 for a two-hour beginner clinic. Courts 3 and 4 stay on sale one at a time.
- Saturday
- A company rents the whole hall for a three-hour social and sends an e-Transfer deposit. Staff confirm it from the payments list.
- Sunday afternoon
- Two players walk in and ask for a court. Staff check the calendar, book Court 4 for an hour and record the cash.
From sign-up to your first booking
Add the club
Sign up with your work email, then add the facility, its location and its courts.
Name the courts
Add Court 1 to Court 4 one at a time, then create a rental for each court, for the pairs you rent to clinics and for the whole hall. Courts that don't share a floor go in as separate spaces.
Set hours and payment
Set opening hours, your cancellation policy and how players pay. Upload a waiver if you want one signed at a player's first booking.
Open the booking page
After a quick verification, your booking page goes live.
Questions owners ask
Can players book a single court or the whole hall?
Both. Build a rental for each court and one for the whole hall from the same courts. A whole-hall booking blocks every court for that time, and any single-court booking blocks the whole hall.
How do I stop open-play hours from being reserved?
Add blocked time on the courts you keep for open play. Those hours don't appear on your booking page.
Can I hold every court for league or ladder night?
Yes. Block every court for league night, or have the desk enter the league's bookings under the organizer's name, so nobody can book those courts online.
Can my club sell memberships?
Yes, on the Grow plan. Members join a monthly plan, with a sign-up fee if you set one, can pause, and check in at the desk.
Does LocalRec take a cut of court fees?
No. LocalRec charges no commission on bookings. You pay a monthly subscription per facility, shown on the pricing page.
