Gym rental software for multi-sport facilities

LocalRec Facility OS is booking and operations software for indoor sports facilities in Canada. For a multi-sport gym, it rents the full floor, each basketball court and a volleyball court laid across both, and won't take two bookings that need the same part of the floor. Customers book on the web or in the LocalRec app, and your desk enters phone and walk-in rentals on the same calendar.

LocalRec takes no commission on your bookings, and every price is in Canadian dollars.

Why gym rentals collide

  • A cross-court that overlaps both courts

A volleyball court set across the middle of the floor uses part of both basketball courts. Track the courts separately and you can sell all three for the same hour, then find out at the door.

  • Several sports on one floor

Basketball, volleyball, pickleball, badminton and futsal groups all want the same gym, on different lines. A plain list of gym bookings doesn't say which part of the floor is taken.

  • Rooms and courts kept in different places

The gym is on one calendar, the meeting room on another and the second location on a whiteboard. Staff check all three before they can tell a caller what's free at 7.

  • A schedule only one person understands

When bookings live in one manager's spreadsheet, the weekend shift can't see a mistake until a group is standing in the gym.

How LocalRec schedules a shared gym floor

  • Full gym, basketball courts and cross-courts on one floor plan

Divide the floor into the smallest sections you ever rent on their own, then build each rental from them: the full gym, each basketball court, the centre volleyball court and a pickleball court. Every booking, from the page or the desk, is checked against all the rentals that share a section.

  • Hours and rates for each space

Set opening hours for the location and each space, and block time for school use or floor work. Each rental has its own hourly rate, or price on request. Hide a rental from the booking page without deleting it.

  • The whole building on one calendar

The day and week calendar shows every space at the location, so the desk sees the gym, the courts and the meeting room together. A week preview shows what customers will see.

  • Several locations under one account

Add a second location or a second facility to the same account, each with its own address, hours and spaces. Every plan includes it.

  • Roles for the people at the desk

Invite people as Staff, Manager or Owner. Everyone works from the same calendar, and each booking keeps a history of its changes, cancellations and payments.

  • Payments recorded where they happen

Pick one way customers pay: card at booking, Interac e-Transfer, or at the facility. Staff record cash, card on your own terminal, e-Transfer or other payments against a booking and see the day's takings.

An example week in a double gym

A made-up week in a gym with two basketball courts, a centre volleyball court and a meeting room.

Monday
A basketball club rents Court A from 6 to 8. A volleyball group tries to book the centre court at 7 and can't, because it uses part of Court A.
Wednesday
A school has the full gym from 9 to 3, entered at the desk. The meeting room stays open, and a coaches' clinic books it for noon.
Thursday evening
A futsal group has Court A and a badminton group has Court B. Neither touches the other's sections, so both bookings go through.
Saturday
The gym closes for floor refinishing. Staff block the day, and the booking page shows the gym as unavailable.
Sunday
A customer cancels a Court B rental from their confirmation email, under your cancellation policy, and the hour goes back on sale.

From sign-up to your first booking

  1. Set up the facility

Create an account with your work email, then add the facility, the location and its spaces.

  2. Map the floor

Add the sections the floor divides into, then make the full gym, each court and any cross-court from the sections they use, each with a rate.

  3. Add the other spaces

Add meeting rooms, a second gym or another location, each with its own hours.

  4. Go public

After a quick verification, your booking page goes live. Invite your staff and share the link.

Questions owners ask

How do I split a gym into two courts for rentals?

Set the floor up as sections, for example four, then make a rental for each half and one for the full gym. A booking on either half blocks the full gym for that time, and a full-gym booking blocks both halves.

What happens when two partial bookings overlap?

LocalRec turns the second one down. Each rental is built from floor sections, and every booking, from the page or the desk, is checked against every rental that shares one.

Can I rent rooms and courts at the same facility?

Yes. Add each room as its own space with its own hours and rate. It shows on the same booking page and calendar, and never conflicts with the gym floor.

Who can make changes at the desk?

Anyone you invite, as Staff, Manager or Owner. Ownership moves only when the new owner accepts the offer.
