Sports dome booking software for seasonal domes

LocalRec Facility OS is booking and operations software for indoor sports facilities in Canada. For a seasonal dome or air-supported bubble, it rents the field whole, in halves or in quarters, so a soccer club and a flag football team can share it without overlapping. When the dome comes down, a storm hits or a blower needs repair, you block the hours and the booking page stops offering them.

LocalRec takes no commission on your bookings, and every price is in Canadian dollars.

What makes a dome hard to schedule

  • A few months to earn the year

The dome goes up in the fall and comes down in the spring. An evening hour left empty in January, or sold twice, can't be made up in July.

  • Several sports, one field

Soccer wants the full field, flag football wants a half, a baseball team wants a quarter to throw in, and an ultimate group takes whatever is left. The schedule has to hold every one of those bookings at once.

  • Closures you can't plan

Heavy snow, high wind, a power cut or a blower repair can close the dome with a few hours' warning. Every group booked into those hours needs to hear about it, and the hours have to stop selling straight away.

  • Opening and closing the season

Coaches ask for winter slots before the dome is even up. After it comes down in the spring, an old booking link can still look open.

How LocalRec runs a dome through the season

  • Halves and quarters every sport can book

Add the field's four quarters as sections, named to match your lines, then make the full field, two halves and four quarters from them. A booking on any of them blocks every other rental that shares its turf.

  • The off-season kept off the booking page

Block the field for the months the dome is down, up to a year at a time, or hide its rentals until next season. Blocking the full field takes every half and quarter off sale too.

  • Weather closures from the calendar

When the dome has to close, staff open each booking in those hours and reschedule it, or cancel it with a refund preview. The customer gets an email either way. Then block the hours so nobody books into them.

  • Fall hours and winter hours

Set weekly opening hours for the dome and for each space in it. When the hours change for winter, update the week once and the booking page follows.

  • Teams book the piece of field they need

A coach picks the full field, a half or a quarter, then the day, start time and length, and confirms with a 6-digit code from their email. The slot is held during checkout, so another team can't grab it halfway through.

  • Deposits for the winter rush

Choose one way teams pay: card at booking, Interac e-Transfer, or at the facility. With e-Transfer, ask for a deposit to hold peak winter hours, and LocalRec reminds you about transfers you haven't confirmed.

An example winter week under one dome

A made-up week in which four sports share one dome field.

Monday
A soccer club has Half A from 6 to 8 and a flag football team has Half B. A baseball coach looking for a quarter at 7 finds nothing, because both halves are taken.
Tuesday
Snow is forecast for the evening. Staff move three bookings to Thursday from the calendar, each team gets an email, and the evening is blocked.
Wednesday
An ultimate group books the full field from 8 to 10 and sends an e-Transfer deposit. Staff confirm it in the morning.
Thursday
Two baseball teams throw on Quarter 3 and Quarter 4 while the soccer club's moved session uses Half A. None of them overlap.
Saturday
A blower needs repair from 7 to 10 in the morning. Staff block the full field for those hours, and the afternoon rentals go ahead.

From sign-up to your first booking

  1. Create the dome

Sign up with your work email and add the facility, the dome's address and its field.

  2. Divide the field

Add the field's sections, then make the full field, halves and quarters from them, each with its own rate.

  3. Set the season

Add this season's opening hours and block the months the dome is down. Upload a waiver if teams must sign one at their first booking.

  4. Go live for the season

After a quick verification, your booking page goes live. Send it to the clubs that rent from you every winter. Email our support team at support@localrec.ca if you'd like help setting up the field.

Questions owners ask

Can several sports share one dome field?

Yes. Divide the field into sections and sell the full field, halves and quarters from them, named for the sports that use them. LocalRec turns down any booking that needs turf someone already has.

How do I close the dome for bad weather?

Reschedule or cancel the bookings in those hours from the calendar, which emails each customer, then block the time. Blocked hours don't appear on the booking page.

What happens to the booking page when the dome comes down?

Block the field for the off-season, up to a year at a time, or hide the rentals. The page shows no times until you open them again.

Can a team ask for the same night all winter?

Yes, through the LocalRec app. You see every date, book the free ones in one go or decline with a message, and the customer pays at the facility. On the web booking page, teams book one slot at a time, and staff can enter each date of a season from the desk.

Can I run a second dome or an indoor building on the same account?

Yes. Add it as another location with its own address, hours and spaces. Every plan lets one account run several locations.
