Volleyball court booking software for gyms and clubs
LocalRec Facility OS is booking and operations software for indoor sports facilities in Canada. For a volleyball gym, it rents each court by the hour even when the volleyball courts run across your basketball lines, and closes the basketball courts a net crosses. Clubs and rec groups book on the web or in the LocalRec app, and the desk books regulars onto the same floor.
LocalRec takes no commission on your bookings, and every price is in Canadian dollars.
Why volleyball bookings clash with the rest of the gym
Volleyball lines cross basketball lines
In many gyms the volleyball courts run crosswise. The middle one sits over both basketball courts, so booking it takes part of each. A booking list that treats every court as separate can't see that.
Club practice runs all season
A club might want three courts every Tuesday and Thursday from October to March. Each of those nights has to come off sale, and one missed night means two teams arrive for one court.
Tournament days take the whole floor
A one-day tournament needs every court from warm-up to the final. A court still on sale that day is a clash you find out about at 8 in the morning.
How LocalRec books volleyball courts on a shared floor
Courts built from sections of floor
Add the floor as sections, one at a time, then build each court from the sections it covers. Volleyball Court 2 uses a section from each basketball court, so a booking on it takes both basketball courts off sale for that hour. Volleyball Courts 1 and 3 stay open.
Volleyball off the booking page in the off-season
When club season ends, hide the volleyball rentals and they drop off the booking page while the basketball courts stay on sale. Publish them again in the fall, with their rates as you left them.
Club practice nights for the season
A club coach asks for the same evening every week in the LocalRec app. You see every date they asked for, book the free ones in one go, and the club pays at the facility. For a club that doesn't use the app, the desk enters each practice on the calendar under the club's contact.
A winter rate for club season
Add a dated season with its own rate, October to March for example, or a higher rate for weeknight evenings. Customers see the price before they book, and prices already booked don't change.
Tournament days as blocked time
Block every court for a tournament and the booking page shows the gym as taken for those hours. LocalRec adds the block only when no booking sits inside it, so nobody's rental is quietly overridden.
Paid by card, e-Transfer or at the facility
Choose one way customers pay: card at booking into your own Stripe account, Interac e-Transfer for the whole amount or a deposit, or at the facility. If a transfer isn't confirmed in time the booking is released, and you get a reminder before that happens.
An example week with three volleyball courts
A made-up week in a double gym, to show how crosswise volleyball courts and basketball courts share it.
- Tuesday evening
- A club holds all three volleyball courts from 6 to 9. Its coach sent a weekly request in the app and you booked every free Tuesday at once, so neither basketball court shows as free online during practice.
- Wednesday
- A rec group books Volleyball Court 1 at 7. A basketball team then books Basketball Court B for the same hour, which works because Basketball Court B doesn't touch the sections Volleyball Court 1 uses.
- Thursday
- Someone tries to book Volleyball Court 2 at 8 while Basketball Court A is rented. The booking page doesn't offer it, because Court 2 needs a section of Basketball Court A.
- Saturday
- A youth tournament runs from 8 to 6. Staff blocked every court two months ahead, so no single court was rented that day.
- Sunday
- An adult group pays cash at the desk for Volleyball Court 3. Staff record the payment and mark the group as arrived.

Questions owners ask
Can volleyball courts overlap basketball courts in the booking system?
Yes. Set the floor up as sections and build each court from the sections it covers. Any booking blocks every other court that shares one of its sections, whichever sport that court is for.
Can I take the volleyball courts off sale for the summer?
Yes. Hide the volleyball rentals, or block them for those months. The basketball courts stay on sale.
Can I hold courts for league night or a tournament?
Yes. Block every court for league night, or have the desk enter the league's bookings under the organizer's name, so nobody can book those courts online.
Do players need a password to book a court?
Not on the web. They enter a name and email on your booking page, pick a court and a time, and confirm with a 6-digit code sent to that email. They cancel from the confirmation email under your cancellation policy.
